Maximizing the recruitment potential of each investigator participating in a given study is achieved through interactions with our team of highly experienced medical oncologists who educate site staff, strategize with the sponsor and manage each site participating in a clinical trial. Through face-to-face, phone, e-mail, and workshop-based interactions, our medical oncologists diagnose barriers to recruitment, work directly with investigators and research staff to identify what strategic actions would overcome these barriers, and oversee the implementation of initiatives that enhance the recruitment potential of each site.

A Holistic Approach: Managing each site individually

With our paid-for-performance model, DAVA is invested in the success of each clinical trial and dedicated to the most effective and efficient management of site-specific initiatives possible. Action items for the study are catalogued and tracked through the use of our site-specific Enrollment Plan – an exclusive tracking tool used to monitor historical performance, treatment barriers, patient volume, referral patterns, sub-investigator and research staff engagement, and action items to ensure completion. Enrollment Plans provide both direction and oversight, ensuring that every site, and by extension each investigator, is reaching their full potential.

In Action: How DAVA accelerates clinical trials

Accrual Workshops: Whereas individual, one-on-one interactions between our medical oncologists and investigators typify our day-to-day initiatives at DAVA, accrual workshops are the lynchpin of our focus on increasing trial education and engagement. Targeting groups of 8-10 investigators at a time, accrual workshops are forums which reeducate sites participating in the clinical trial, provide a comprehensive landscape of the given disease type, highlight enrollment status, and most importantly, dive into case-based learning. These cases are taken from real patients seen at each site and present thought-provoking questions to attendees on how their location, training, and practices would affect treatment of the patient, and how this may influence both how they interpret the study and how they perform from an enrollment perspective. Workshops provide an opportunity where even the most hardened critics can reassess their stance on particular issues with a protocol by hearing from their respected peers and becoming more acutely aware of the standard of care.

Referral Network Initiatives

More targeted than accrual workshops, referral network interactions and meetings are regionally focused and intended to amplify the enrollment potential of investigators in a specific area. Working jointly with the site, key referring physicians are identified, targeted and engaged to increase their awareness of the trial, how it may benefit their patient base, and how it may change the current treatment landscape. Site visits and phone interactions are targeted for the majority of referral engagements, with referral network meetings utilized for those sites with the highest enrollment potential and greatest referral base. Similar to an accrual workshop, a referral network meeting provides a group forum for trial education and case-based learning, while also providing valuable intelligence for the sponsor on the regional intricacies that influence treatment patterns.

Site Visits

Heavily focused at the beginning of DAVA's initiation on the trial, site visits allow our medical oncology team to assess each site individually and enables DAVA to understand the capabilities, buy-in and unique challenges that each site faces. Site visits are crucial in the early development of Enrollment Plans that guide strategic initiatives for the life of the clinical trial.
